Reports To: Executive Director, Supply Chain Operations

Work Schedule: Hybrid: 3 days in office per week (Wednesday mandatory), 2 days remote

Descriptive Summary

We are seeking a detail-oriented and proactive Inventory Specialist/Associate Manager to join our dynamic Supply Chain team. The candidate is responsible for the accurate tracking, reconciliation, and control of raw materials, intermediates, finished goods, and ancillary supplies across internal and external (3PL/CDMO) locations. This role ensures inventory accuracy, regulatory compliance, and uninterrupted supply to support commercial operations within a pharmaceutical toll manufacturing environment.

The position requires strong collaboration with internal teams and external vendors to maintain inventory levels and support production schedules. The ideal candidate will work cross-functionally with Technical Operations, Planning, Procurement, Manufacturing, R&D, Finance (Accounting, A/P), IT and Quality teams.

The role is outlined, but not limited, to work financial reconciliation and reporting, supply forecasting, identifying / root cause analysis of service / fulfillment failures, and related support on continuous improvement projects.

Key Responsibilities

Inventory Control & Accuracy

  • Maintain accurate inventory records for raw materials, drug substance (DS), drug product (DP), and finished goods in the ERP system
  • Perform routine cycle counts, physical inventories, and reconciliation activities; investigate and resolve discrepancies
  • Monitor inventory movements including receipts, issues, transfers, returns, and destructions
  • Ensure inventory status segregation (e.g., Quarantine, Released, Rejected, Expired)

External Partner & 3PL Coordination

  • Interface with third-party logistics providers (3PLs), CMOs, and CDMOs to ensure accurate inventory visibility
  • Review and reconcile 3PL inventory reports, shipment confirmations, and adjustment requests

Compliance & Quality

  • Ensure inventory practices comply with cGMP, GDP, and internal SOP requirements
  • Support audits and inspections (FDA, internal QA, partner audits) by providing inventory documentation and traceability
  • Participate in deviation investigations, CAPAs, and change controls related to inventory discrepancies
  • Ensure proper handling of controlled, hazardous, or temperature-sensitive materials

Planning & Reporting

  • Support demand and supply planning teams by providing accurate inventory data and reports
  • Generate routine inventory metrics (accuracy, cycle count performance, aging, expiries)

Systems & Process Improvement

  • Execute inventory transactions in ERP system (SAP)
  • Support system implementations, enhancements, and data cleanup efforts
  • Identify opportunities to improve inventory processes, controls, and data integrity

Required Qualifications

  • Hands-on experience executing SAP transactions (Goods Issue, Goods Movement, Goods Receipt…e.g. MIGO, MM049, MB51/52) and financial / accounting reporting.
  • Experience with MS Office Suite, with strong proficiency in Excel (V Lookup, H Lookup, X Lookup) pivot tables, Power Apps suite, macros, data visualization), Project, Power BI, SharePoint, Copilot
  • Strong attention to detail and analytical skills
  • Proven track record of working with multiple vendors and cross-functional teams.
  • Demonstrated clear and effective written and verbal communications
  • Ability to learn and execute work in a fast-paced, regulated environment

Preferred Qualifications

  • Bachelor’s degree in Supply Chain, Business, Life Sciences, or related field (or equivalent experience)
  • 2–5 years of inventory, logistics, or supply chain experience in biotech, pharmaceutical, or regulated manufacturing environments
  • Experience with biologics, cold chain, or serialized pharmaceutical products
  • Familiarity with FDA, EMA, and other regulatory expectations
  • Experience supporting 3PL or CDMO inventory operations
  • APICS CPIM or similar certification
